Training & eventsOnline session joining instructionsEverything you need to join a Tpas online training session — what to check beforehand, how to get in on the day, our groundrules, and how to stay safe online. |
All digital training delivered by Tpas takes place on Zoom (www.zoom.us). Your booking confirmation and reminder emails carry everything specific to your session — the date, the start and finish times, and your joining link. This page covers everything that applies to every session.
Before the day
It carries the date, the start and finish times, your joining link, and the Meeting ID and passcode. Keep it to hand — you will need it if the link does not open for you.
Use a computer, laptop or tablet, and join over wifi if you can. We do not recommend joining on a mobile phone — you will not get the best experience, it drains your battery quickly, and using mobile data for video can be very expensive.
It is always best to run a quick sound and technology test before joining, so you know everything works on your device. Zoom has a test meeting at zoom.us/test.
How to join on the day
- Join 15 minutes early
Access to sessions is available from 15 minutes before the start time. Please do join early — it means we can start promptly, and it gives you time to sort out anything unexpected.
- Click the joining link in your reminder email
The link takes you straight into the session. If you are asked to, allow Zoom to use your microphone and camera, and enter your name as you booked so the trainer can check you in.
- If the link does not work, join manually
Go to www.zoom.us and click Join meeting, which appears in the top right-hand corner of your screen. Enter the Meeting ID and passcode from your reminder email.
- Still stuck? Tell us
Email training@tpas.org.uk and we will help you get in. Please do let us know if you need help with anything — do not sit outside the session on your own.
Groundrules for digital training
Please read these before taking part in the training. If anyone does not adhere to the groundrules, the trainer reserves the right to remove them from the course.
- Do not share any video images, take screenshots or photos of the video screen.
- Do not record the session or share any information given during the session.
- Check what is behind you, to make sure you are not sharing any personal information by accident.
- Be polite and respectful to the tutor and the other learners.
- Be patient if the technology does not always work.
- Be punctual. Access to sessions is available from 15 minutes before the start time.
- Keep your microphone muted at all times, unless the trainer asks you to unmute or you have something important to raise.
- Do let the tutor know if you are experiencing any difficulties. That might include:
- Language — is the trainer speaking too quickly or too slowly?
- You have a disability that can affect your learning.
- Anything else that may affect your ability to take an active part.
- Have fun.
Staying safe online: tips for learners
Staying safe online is very important. Here are a few tips to help you manage online learning and keep yourself, and anyone else in your household, safe.
Keep it private
- Remember you can turn your camera off. You do not need to show your face to attend a session.
- When you join, set your microphone to Mute. You will still hear the tutor, but they cannot hear you. Click Unmute whenever you want to say something.
- Do not share any personal details or contact information while you are online.
- Think about where you are sitting. If you are using your camera, make sure nobody can see personal details about you, or anything else you would rather not share.
- Tell your family you are doing online training, so they do not wander around behind you or interrupt you.
Be professional
- If you use your camera, wear the same clothes you would wear to a session at an external venue.
- Remember the normal rules of the classroom: be polite, turn up on time, and let others speak too.
- There are some extra rules for online sessions — you will find them in the groundrules above.
Other things to remember
- We advise delegates to join training over wifi.
- We do not recommend joining on a mobile phone. If it is the only device available to you, remember that connecting this way drains your battery very quickly.
- Using mobile data can also be very expensive, especially with video.
- Use a computer if you possibly can.
During the session
Sessions are led by a Tpas trainer or associate. They will present the material and interact with delegates throughout, so it is not a session you simply sit and watch.
You can use the chat facility to take part at any point. Your trainer and the other delegates will be able to see what you post.
We encourage you to switch your camera on, but we do not enforce it — we understand there may be reasons why someone cannot. Please be mindful that some delegates will choose not to use theirs.
One booked place, one person
Delegates should join sessions individually rather than as a group. You get far more from the training that way — you can take part in the chat, ask your own questions, and join in the activities.
Anyone joining without an individually booked place will be charged at the standard ticket price per person.
